DBS Checks in Dentistry: What You Need to Know

Disclosure and Barring Service (DBS) checks are a crucial part of safeguarding in dental practices across England and Wales. Introduced in 2012 following the merger of the Criminal Records Bureau (CRB) and the Independent Safeguarding Authority (ISA), the DBS ensures that individuals working with vulnerable groups, including children and adults, are safe to do so.

Why Are DBS Checks Important in Dental Practices?

Since dental practices in England are regulated by the Care Quality Commission (CQC), it is expected during inspections that appropriate DBS checks have been carried out for all members of the dental team. This requirement helps ensure patient safety and compliance with legal standards.

Who Needs a DBS Check?

The type of DBS check required depends on the role and the level of contact a staff member has with patients.

Enhanced DBS Checks

  • Required for all clinical staff, including:

    • Dentists

    • Dental hygienists

    • Therapists

    • Dental nurses

  • NHS-contracted dentists may already have completed a DBS check as part of their Performers List application. In some cases, practices may use this existing check rather than applying for a new one.

 

Non-Clinical Staff

  • Don’t assume non-clinical roles don’t require checks.

  • The necessity of a DBS check should be determined through the application of a risk-based approach.

  • It is recommended that all team members undergo some level of DBS screening before starting work.

Registered Managers: Special Requirements

Anyone applying to become a Registered Manager with the CQC (England) or Health Inspectorate Wales (HIW) must:

  • Complete an enhanced DBS check with barred list information

  • Submit this DBS check to the relevant regulatory body for countersigning

Timeframe:

  • Processing can take up to 60 working days

  • The CQC requires a DBS check issued within the past 12 months

  • HIW accepts DBS checks that are up to 3 years old

New Starters and Risk Assessments

DBS checks can take up to 8 weeks to process. According to guidance from regulators:

  • New team members may begin working before their DBS is completed

  • However, a risk assessment must be documented and safeguards put in place

  • This can be a simple written explanation placed on file – no formal template required

Locum and Agency Staff

For locum or agency staff directly engaged by your practice:

  • Treat them as any other new employee regarding DBS requirements

If the agency supplies staff:

  • Obtain written confirmation that all staff provided hold a valid, appropriate-level DBS check
